This page describes the methods and logic applied in the processing of personal data of users of the website fondazione.openpolis.it (hereinafter also referred to as the “Website”).
This information is provided – pursuant to Article 13 of Regulation (EU) No. 2016/679 (GDPR) – to all users who interact with the Website and provide their personal data. It applies to all websites accessible under the domain fondazione.openpolis.it.

All personal data provided through the Website will be processed lawfully and fairly in order to provide the requested services and respond to users' communications and inquiries, always in pursuit of the purposes of the Fondazione openpolis.
Data Voluntarily Provided by the User
Users may send requests and communications via the contact forms and email addresses listed on the Website. Providing this data is mandatory in order to respond to the inquiries and to recontact the sender for clarification regarding the submitted information. Personal data is voluntarily provided by users in order to use the services of the Website.
In particular, user identification may occur when:
- sending information/support requests or communications via the contact forms or email addresses listed on the Website. In this case, the Controller will process the sender’s contact details, which are necessary to reply, as well as any personal data included in the communication;
- subscribing to one or more newsletters. In this case, the Controller will collect the user’s email address.
Browsing Data
This category of data includes IP addresses or domain names of the computers used by users connecting to the Website, URI (Uniform Resource Identifier) addresses of the requested resources, the time of the request, the method used to submit the request to the server, the size of the response file, the numerical code indicating the status of the server’s response (successful, error, etc.), and other parameters related to the user’s operating system and IT environment. These browsing data are collected not for the purpose of identifying users but solely to obtain anonymous statistical information on the use of the Website and its services.

Purpose and Legal Basis for Data Processing
Personal data is processed solely for the following purposes:
- to fulfill requests for registration or donations. The processing is necessary to fulfill a user request and is based on the performance of a contract or pre-contractual measures;
- to ensure the proper functioning of web pages and their content. In this case, the legal basis for processing is the Controller’s legitimate interest;
- to send one or more newsletters upon the user’s request. The processing is based on the user’s consent;
- to manage accounting and related legal obligations in the case of donations. The processing is based on the Controller’s legal obligations;
- to send service communications and essential administrative information via email. In this case, the processing is based on the Controller’s legitimate interest;
- to compile anonymous statistics on Website traffic;
- for other purposes related to the Openpolis project that will be detailed on the respective Website pages and in the pursuit of the statutory activities of the Fondazione openpolis.
Methods of Processing
Personal data is processed using automated tools – by staff of the Foundation and authorized third parties – solely for the above purposes and for the time strictly necessary to achieve the purposes for which they were collected. Appropriate security measures have been adopted to prevent data loss, unlawful or incorrect use, and unauthorized access.
Data Retention
The Controller adopts the following retention policies for data collected via the Website:
- data submitted through contact forms or emails sent to addresses listed on the Website will be retained only for the time necessary to respond to the requests received;
- data related to donations will be retained for the time required to fulfill legal obligations.
Data Subjects’ Rights
Data subjects have the right to request from the Controller access to their personal data, as well as rectification, erasure, restriction of processing, or to object to processing (Articles 15 et seq. of EU Regulation 679/2016).

Where applicable, data subjects also have the right to lodge a complaint with the competent Data Protection Authority, in accordance with the procedures provided.

This privacy policy is effective as of January 1, 2023, and is subject to updates; users are therefore invited to periodically review its contents.
